Room and job site photos organized by room with timestamps. No item photos. Best for documenting property damage and conditions.

What's Included

The Job & Room Photo Report focuses on documentation photography:

  • Room Photos: Photos taken of each room showing overall conditions

  • Job Site Photos: General property and exterior photos

  • Organized by Room: Photos grouped by location

  • Timestamps: When each photo was taken

  • No Item Photos: Excludes individual inventory item photos

This report is specifically for property condition documentation, not inventory documentation.

Available as: PDF only (includes full-size photos)

When to Use This Report

Best for:

  • Documenting property damage and conditions

  • Showing room-level damage before restoration

  • Initial property assessments

  • Recording job site conditions

  • Pre-loss and post-loss condition comparisons

Not ideal for:

  • Item-level inventory documentation (use Photo Report)

  • Detailed item lists (use Salvageable Report)

  • When you need both room AND item photos together


How to Generate

  1. Open your job in the web app

  2. Click the Reports tab (top right)

  3. Click Generate Report

  4. Expand Additional Reports

  5. Select Job & Room Photo Report

  6. Customize your options (see below)

  7. Click Generate PDF

Note: Most reports download immediately. Large jobs (1000+ items) are emailed to you when ready.


Customization Options

Include Organization Logo

Default: Enabled

Adds your organization's logo to the report header.

Split by Room

Default: Enabled

Organizes photos into separate sections for each room:

  • Shows room name as section header

  • Groups all photos from that room together

  • Makes navigation easier for multi-room properties

  • Optional to generate separate files per room

Split by Label/Tag

Default: Disabled

Groups photos by box or tag labels:

  • Shows label name as section header

  • Groups items by their container

  • Items sorted by label type (boxes first, then tags)

Include Item Photos

Default: Enabled

Controls whether item photos are included:

  • Enabled: Shows both documentation photos and item photos

  • Disabled: Shows only job and room documentation photos (no inventory items)

Disable this to create a pure property documentation report without any inventory items.

Include Job & Room Photos

Default: Enabled

Controls whether job-level and room-level documentation photos are included:

  • Enabled: Shows property and room condition photos

  • Disabled: Shows only item photos (if Include Item Photos is enabled)

Most users keep this enabled for property documentation.

Use Thumbnails (Smaller File Size)

Default: Disabled

Controls image quality and file size:

  • Enabled: Uses smaller thumbnail images, resulting in smaller PDF file size but lower image quality

  • Disabled: Uses full-size images for better quality but larger files

Enable this option if you need to reduce file size for email or faster downloads.

Job & Room Photo Report options

Job & Room Photo Filters

Default: All documentation photos included

Use filters to control which job and room photos appear in the report.

Available filters:

  • Include Job Photos: Toggle to include/exclude job-level photos

  • Rooms: Filter room photos by specific rooms

  • Photo Labels: Filter by photo labels (e.g., "Exterior", "Source-of-Loss", "Equipment")

When you select multiple rooms or labels, the report includes photos matching any of those selections.

Photo Overlay Options

Control what information appears overlaid on item photos in the report:

Available overlays:

  • Show Quantity: Display item quantity on photos

  • Show Cost: Display estimated replacement cost on photos

  • Show Timestamp: Display when the photo was taken (enabled by default)

  • Show Label: Display the item's box or tag label

Default settings:

  • Quantity: Disabled

  • Cost: Disabled

  • Timestamp: Enabled

  • Label: Enabled

Use "Select All" or "Select None" buttons to quickly enable/disable all overlays, then toggle individual options as needed.

Difference Between Reports

Job & Room Photo Report (This Report)

  • Focus: Property and room conditions

  • Photos: Room-level documentation photos only

  • Purpose: Property damage documentation

  • No items: Does not show inventory items

Photo Report (Different Report)

  • Focus: Inventory items

  • Photos: Item photos (and optionally room photos)

  • Purpose: Inventory documentation

  • Includes items: Shows individual inventoried items with photos

When to Use Each

Use Job & Room Photo Report when:

  • Documenting initial property conditions

  • Showing room-level damage

  • You don't need item-specific photos

  • Creating pre-restoration documentation

Use Photo Report when:

  • Showing individual inventory items

  • Creating a visual inventory

  • You need item-specific documentation

  • Presenting item details with photos

Use both when:

  • You need complete documentation of both property conditions AND inventory items

  • Generate them separately and combine as needed


Viewing Report History

All generated reports are stored in the Reports tab where you can:

  • Download reports again anytime

  • See generation status

  • Track when reports were created

Tips

  • Take room photos systematically: Document all angles and damage

  • Use timestamps: Helps establish timeline for claims

  • Split by room: Makes large properties easier to navigate

  • Combine with other reports: Use this for property conditions, Photo Report for items

  • Include in initial assessments: Document conditions before any work begins


Best Practices for Room Photography

What to Photograph

Room documentation should include:

  • Overall room views (all walls, ceiling, floor)

  • Close-ups of damage or relevant conditions

  • Entry/exit points

  • Windows and fixtures

  • Any visible damage or issues

Photography Tips

  • Take multiple angles: Don't rely on single shots

  • Document systematically: Work around the room clockwise

  • Capture context: Show how rooms relate to each other

  • Lighting: Ensure photos are well-lit and clear

  • Before and after: Consider progress photos over time


Troubleshooting

Report is empty

  • Verify room photos have been uploaded

  • Check if you've taken documentation photos (not just item photos)

  • Ensure photos are marked as room/job photos, not item photos

  • Try disabling filters

Missing rooms

  • Check if filters are excluding rooms

  • Verify photos were properly assigned to rooms

  • Some rooms may not have photos yet

Photos are poor quality

  • Check original photo quality in the documentation tab

  • Ensure photos were uploaded at sufficient resolution

  • Retake photos if needed with better lighting/focus

Email hasn't arrived

  • Check spam/junk folder

  • Wait up to 10-15 minutes for generation

  • Check Reports tab - download directly if marked as completed
