What's Included
The Vault Summary Report is organized by vault rather than by room or category. For every vault that holds labels from the job, the report produces:
A cover page with the job name, customer and claim details, the vault name, and a large QR code that scans straight to that vault. Inventory summary cards show the number of boxes (broken down by size), tag items, and textiles in the vault.
A contents list of every label stored in the vault, with a small QR code for each label so individual boxes and items can be scanned.
Because the cover page is designed to be printed and attached to the physical vault, anyone in the warehouse can scan the QR code to pull up the vault and see exactly what's inside.
Available as: PDF only.
The pages that follow list every label in the vault, each with its own QR code for scanning individual boxes and items.
When to Use This Report
Best for:
Labeling physical storage vaults in a warehouse
Letting warehouse staff scan a vault to see its contents
Locating a customer's belongings quickly across many vaults
Confirming which labels are stored in which vault
Not ideal for:
Room-based organization (use the Salvageable or Custom Inventory Report)
Chain of custody documentation by label (use the Custody Report)
Visual documentation of items (use the Photo Report)
Jobs whose labels have not been assigned to vaults yet
How to Generate
Open your job in the web app
Click the Reports tab (top right)
Click Generate Report
Expand Additional Reports
Select Vault Summary
Customize your options (see below)
Click Generate Report
The report is created as a PDF. Most reports download immediately; large jobs are emailed to you when ready.
Note: Only vaults that contain labels from this job appear in the report. If no labels have been assigned to a vault, the report will be empty.
Customization Options
Report Title
Default: "{Job Name} | Vault Summary"
Set a custom title that appears on the cover page of each vault.
Show Organization Logo
Default: Enabled
Adds your organization's logo to the report header and overlays it on the QR codes (when your organization has logo-on-QR enabled).
Column Selection
The contents list supports the following columns. Use Select All or Select None, then toggle individual columns.
Default columns shown:
Row Number — sequential number for each row
Label Name — the box or tag name (links to the label in the app)
Type — box (with size), tag item, bulk textiles, single textile, or garment bag
Room — the room the label belongs to
Cleaning Category — the label's cleaning category
QR Code — a small QR code that scans to the individual label
Optional columns you can toggle:
Objects — the items contained in each label
Cleaning Code — the Xactimate cleaning code
Comments — label comments
Viewing Report History
All generated reports are stored in the Reports tab where you can:
Download reports again anytime
See generation status
View who requested each report
Tips
Print the cover page on a label or full sheet and attach it to the front of the vault so staff can scan to locate contents.
Turn on the Objects column when you want the printed list to show item-level detail, not just label names.
Keep the QR Code column enabled so each label can be scanned individually during pick and pack.
Troubleshooting
Report is empty
Confirm labels have been assigned to vaults
Only vaults containing this job's labels are included
A vault is missing
Verify that at least one of the job's labels is assigned to that vault
Vaults with no labels from this job are skipped
QR code won't scan
Make sure the printed page isn't scaled down too far — the cover-page QR code is large for this reason
Reprint at full size if the small label QR codes are hard to read
