🏷️ How to Add a Tagged Item to Your Inventory

🧭 Summary

Use Tagged Item Mode to capture multiple photos of an item, apply labels (QR or auto-generated), and mark its condition or destination (cleaning, storage, or on-site). The app’s AI automatically identifies the item, writes descriptions, and retrieves pricing details for you.

⚙️ Prerequisites

  • A job must be created before tagging items

  • (Optional) QR labels for scanning

🚀 Step-by-Step Instructions

1. Enter Tagged Item Mode

  • Tap Tag on the item you want to add (for example, a chair).

  • The screen will switch to Tagged Item Mode — the interface turns blue to indicate you’re in tagging mode.

2. Capture Item Photos

  • Take a picture of the item to add it to the inventory.

  • To capture multiple angles, tap Add Pic to Item for each additional photo (front, back, sides, etc.).

    • This is great for capturing the serial number of electronic devices, labels of high-end clothing, etc

  • All images appear in the upper part of the screen, attached to that item.

3. Mark Item Details

You can mark the item’s status using the available options:

  • For Cleaning

  • For Storage

  • Left On-Site

  • Third Party

(Note: These default settings can also be configured when creating a job.)

4. Add a Label

You can label the item in two ways:

Option 1: Scan a QR Label

  • Tap Label and scan the QR code to automatically link it.

Option 2: Select or Create a Label

  • Tap Label, then tap Select / Create Label.

  • Start typing to search the labels already created for this job, and tap one to use it.

  • If nothing matches what you typed, tap the Create new label row to use your text as the label.

  • If labels matching your text are still listed, the app asks you to confirm before creating a new one — tap Cancel to pick the existing label instead.

  • Tap Make New next to the text box to fill in an automatic label name built from:

    • The first three letters of the room

    • The first two letters of the user

    • A number that increases with each new item (for example: BED-JO-001)

5. Finish the Item

  • Tap Done to complete the tagged item.

  • A Finish Tagging Confirmation appears with the photo count, room, label, cleaning, and category. Tick Print label after closing to open the label print dialog right away.

  • Prefer to skip this prompt? Tick Don't show this again and future tagged items finish without the confirmation.

6. Automatic AI Processing

Once uploaded, the system works in the background to:

  • Identify the item

  • Retrieve LKQ pricing

  • Assign the correct Xactimate cleaning and replacement codes

  • Write a short item description

💡 (Tip: You can continue tagging new items while the system processes previously added ones.)

  • Capture clear, well-lit photos from multiple angles to properly document and get better results from AI

  • Leverage QR codes to save time and track items through chain of custody

  • Review automatically generated descriptions for accuracy

  • Set default item statuses in the job setup to save time

🧩 Troubleshooting

If photos aren’t uploading: Check your Wi-Fi or mobile data connection. ​If a label isn’t recognized: Re-scan the QR code, making sure it’s centered in the camera frame. ​If the wrong item is identified: Retake the photo with better lighting and sharper focus.
