Exporting Reports from a Job

Learn how to export detailed job reports in ContentsPal — including inventory data, valuation spreadsheets, and photo-rich PDFs — for sharing with policyholders, adjusters, or internal teams.


📝 Summary

You can export reports directly from any Job page in ContentsPal. Multiple export formats are available, including CSV, Excel, and PDF versions of your inventories, valuations, and photos. Reports can be customized, downloaded, or shared via link.


✅ Prerequisites

  • You must have an active Job open in ContentsPal.

  • Ensure browser pop-ups are enabled (reports open in new tabs).

  • Confirm you have permission to export or share job data.


📦 Exporting Reports

1. Access Export Options

  1. From any job page, click Job Settings (top-right corner).

  2. In the dropdown menu, select Export & Reports.

2. Choose a Report Type

ContentsPal offers several export formats:

Data Exports

  • CSV Export — A comma-separated file containing all job inventory data and fields.

  • Excel Export — A formatted spreadsheet version of the same data.

  • Exactimate Import Excel — An Excel file formatted for import into Xactimate.

Job Reports

  • Valuation Excel Report — Displays ACV and RCV values with depreciation applied.

  • Replacement PDF — Lists all inventory items and their replacements.

  • Inventory PDF — Includes images and all inventory data (can include salvageable and non-salvageable items).

  • Non-Salvageable PDF — Focuses on items marked as non-salvageable.

  • Photo Report PDF — Contains large, high-quality images of every inventoried item, organized by room.

  • Image File Download — Exports all raw image files (room photos, job photos, inventory photos).


⚙️ Customizing Reports

When generating a PDF report:

  1. Choose whether to split by room.

  2. Optionally include your organization’s logo.

  3. Toggle inclusion of non-salvageable items.

  4. Select which columns to display, such as:

    • Image

    • Model

    • Salvage Category

    • Label, Name & Description

    • Size & Quantity

    • Brand & Condition

    • Room

    • Comments

Once ready, click Generate PDF.
The report will open in a new browser tab — make sure pop-ups are allowed.


💡 Best Practices

  • Enable pop-ups before exporting. Chrome and other browsers may block report tabs by default.

  • Large reports (especially photo-heavy ones) can take time to generate — you can continue working while waiting.

  • Once open, reports provide a unique URL. You can:

    • Download the report directly.

    • Or copy the URL to share (⚠️ note: links expire for security).


📨 Sending Reports for Approval

If your job contains non-salvageable items:

  1. Click Request Disposal Approval from the job.

  2. Enter the policyholder or adjuster’s email.

  3. Optionally customize the message.

  4. The recipient will receive a link showing all non-salvageable items, where they can:

    • Adjust item details (e.g., age).

    • Leave comments.

    • Approve and sign electronically.

This creates a verified, digital approval record for item disposal.


🔧 Troubleshooting

Issue

Report doesn’t open

Allow pop-ups in your browser settings.

Report takes too long to load

Large image sets can delay generation; wait and continue other work.

Shared report link expired

Regenerate and share a new report link.
